Records for the purpose of providing treatment

Upon starting therapy, basic personal information will be collected for contact and identification reasons. During our therapy meetings, an assessment of your psychological health will be completed, and notes will be taken during sessions. These will include personal and sensitive details about your life. The assessment and notes are used solely for the delivery of a therapy service to you.

Data storage and data retention

All Data is held in the Netherlands. I do not store personal data outside the EEA. All data storage services used are fully GDPR compliant and available on request. I keep records, noting that you have been here, what interventions happened in the session, and the topics we discussed.

Your information is kept for the time necessary to provide the therapy service requested; however, outside of this; I will hold your details and session notes for 15 years following the end of treatment to comply with legal obligations that are placed upon me by insurers. After this date, all data will be securely deleted.

There may be times where your information needs to be shared with 3rd parties. I will explicitly ask for your written consent before doing so, and the data will be sent to 3rd parties securely.

Your rights

I recognize that my clients may wish to request access to their personal information held by me. You have the right to verify the accuracy or ask for them to be supplemented, deleted, updated, or corrected. You have the right to request a copy of the information that I hold about you. If you wish to exercise your right under the Act at any time, you should put your request in writing to me and provide evidence of your identity. I will respond to your request within 30 calendar days. My response to a valid subject access request will normally be in the form of a schedule listing and describing the personal data I hold on you. You have a right to request the transfer of your data to another individual or company. You may ask me to correct or remove information you think is inaccurate.

You have the absolute right to the confidentiality of your therapy. I keep confidential records and statistics about all the clients I work with. Information but no names will be shared with my supervisor, who is also accredited and regularly reviews my practice. These records are subject to the GDPR. Your personal and sensitive personal data will only be used to provide the service to you and for managing and quality assuring the service.

I can not tell anyone else what you have told me or even that you are in therapy with me without your prior written permission. I will always act to protect your privacy, even if you do release me in writing to share information about you. You may direct me to share information with whomever you chose, and you can change your mind and revoke that permission at any time. You may request anyone you wish to attend a therapy session with you.

Please be aware that email is not completely confidential. All emails are retained in the logs of your or my internet service provider. While no one looks at these logs under normal circumstances, they are, in theory, available to be read by the system administrator(s) of the internet service provider.

As a fully accredited member of the ABvC, RBCZ, and BPS, I adhere to their ethical framework and guidelines to ensure that you receive a professional and quality service.

Fees and Cancellation policy

You are responsible for coming to your session on time, and at the time we have scheduled. Sessions last for 60 or 90 minutes. If you are late, we will end on time and not run over into the next person's session. If you miss a session without canceling or cancel with less than twenty-four hours' notice, you must pay for that session at our next regularly scheduled meeting. The only exception to this rule about cancellation is if you would endanger yourself by attempting to come (for instance, driving on icy roads without proper tires) or if you or someone whose caregiver you are has fallen ill suddenly.

If you no-show for two sessions in a row and do not respond to my attempts to reschedule, I will assume that you have dropped out of therapy and will make the space available to another individual. You are responsible for paying for your session prior to each scheduled session unless we have made other firm arrangements in advance. My fee for a session is 110 Euros/ hour. Emergency phone calls of less than ten minutes are normally free.

Any overdue bills will be charged 1.5% per month interest. If you eventually refuse to pay your debt, I reserve the right to give your name and the amount due to a collection agency.

Coverage by the insurance

Clients are always responsible for payment directly to me, however, you may be eligible for reimbursement through your health insurance. International health insurances will generally cover the costs of therapy following the referral from your general practitioner and evaluation report. Given that I am a member of the RBCZ and the ABvC, most Dutch health insurances will offer some reimbursement for sessions, depending on your health insurance package. Some Dutch health insurance policies may recognize counseling under the category of “alternatieve geneeswijzen behandeling” or “psychosociale hulpverlening”. I highly recommend that you check with your insurance company how many hours per year and the extent to which these costs are covered.

On this link you can see which insurances might be covering some of the cost:

Feedback and complaints

If you have any feedback about the service you receive from me or are not satisfied with your experience, please contact me. I will take such criticism seriously and with care and respect. But, of course, you are also free to discuss your complaints about me with anyone you wish and do not have any responsibility to maintain confidentiality about what I do that you don't like since you are the person who has the right to decide what you want to be kept confidential.

As part of my professional associations, there is a clear and defined process to follow to make a formal complaint. Please follow the link to the SCAG complaints procedure

If you want to file a formal complaint, you might also do so via:

Absences and office closure

The practice is closed on weekends and all Dutch public holidays.

I am away from the office several times in the year for vacations or to attend professional meetings. I will tell you well in advance of any anticipated lengthy absences. During absences longer than 2 weeks, you will be offered the possibility of online therapy. I can arrange a cover-up from a certified colleague in case of need.

Termination of services

You normally will be the one who decides therapy will end, with three exceptions. First, if we have contracted for a specific short-term piece of work, we will finish therapy at the end of that contract. Second, if I am not in my judgment able to help you because of the kind of problem you have or because my training and skills are in my judgment not appropriate, I will inform you of this fact and refer you to another therapist who may meet your needs. Third, if you do violence to, threaten, verbally or physically, or harass me, the office, any of my staff, or my family, I reserve the right to terminate you unilaterally and immediately from treatment. If I terminate you from therapy, I will offer you referrals to other sources of care but cannot guarantee that they will accept you for therapy.

Other Rights

You have the right to ask questions about anything that happens in therapy. I'm always willing to discuss how and why I've decided to do what I'm doing and to look at alternatives that might work better. You can feel free to ask me to try something that you think will be helpful. You can ask me about my training to work with your concerns and request that I refer you to someone else if you decide I'm not the right therapist for you. You are free to leave therapy at any time.

You have the right to refuse anything that I suggest. For example, I do not have social or sexual relationships with clients or former clients because that would not only be unethical and illegal, it would be an abuse of the power I have as a therapist.

Therapy also has potential emotional risks. Approaching feelings or thoughts that you have tried not to think about for a long time may be painful. Making changes in your beliefs or behaviors can be scary and sometimes disruptive to your already relationships. You may find your relationship with me to be a source of strong feelings, some of them painful at times. It is important that you consider carefully whether these risks are worth the benefits to you of changes. Most people who take these risks find that therapy is helpful.

I reserve the right to modify this Terms of conditions and privacy policy at any time, so please review it frequently. Changes and clarifications will take effect immediately upon their posting on the website. If we make material changes to this policy, we will notify you here that it has been updated so that you are aware of what information we collect, how we use it, and under what circumstances, if any, we use and/or disclose it.
